BASIC FUNCTION:

Provides oversight for the LeRoy Neiman Center and works with other offices and academic departments to facilitate events and gatherings in the Neiman Center. Hires, supervises, and trains work-study students to assist in the management of the Neiman Center. Manages college work study budget and provides monthly reports of college work study expenditures as compared to projections. Provides significant support to Campus Life programs.


PRIMARY DUTIES AND RESPONSIBILITIES:

1. NEIMAN CENTER EVENT MANAGEMENT: Works with Campus Security, SITE Student Gallery, Institutional Resources and Facilities Management Office (IRFM), Media Services and individual departments to effectively execute events and meetings in the LeRoy Neiman Center, including the 1st and 2nd floor of the Center, and the Student Leadership Suite. Works with student employees to ensure events are set up properly and appropriately supported.

2. NEIMAN CENTER FACILITY OVERSIGHT: Works with IRFM, Media Services, and Computer Resources and Information Technologies (CRIT) to ensure the proper operation of all assets in the 1st and 2nd floor of the Neiman Center are in proper working order. Works with Associate Dean in identifying possible replacement needs throughout the year. Works with student employees to ensure all spaces are set up for student use throughout the day.

3. HIRE, TRAIN, AND SUPERVISE STUDENT ASSISTANTS: Supervises college work-study students, which includes Neiman Center Assistants, at least (2) first generation fellows, and a graphic designer. Create student staffing schedule that meets the needs of the Neiman Center as directed by the Associate Dean. Trains Neiman Center Assistants in management and set up of the first floor event space, second floor event space, and Student Leadership Suite. Creates work-study job postings as appropriate through CAPX online jobs database, and acts as the primary contact for all interviews, hiring, training, and evaluation of work-study students.


4. MANAGE WORK STUDY BUDGET: Provides a projected budget for college work study expenditures at the beginning of each term and the beginning of the Summer. Provides monthly updates of college work study expenditures as compared the projected goal.


5. MANAGE PARENT FACEBOOK FOR CAMPUS LIFE: Manages membership of Parent Facebook page, and conducts semesterly review of membership to ensure that family members of current students and graduated students make up the group membership.


6. PROVIDE SUPPORT TO DEPARTMENTAL PROGRAMS: Assists department with the planning and implementation of large-scale projects and events, which include but are not limited to Graduation, New Student Orientation, Family Weekend, Residence Hall Move In, Art Sales, Halloween Ball, etc. Support may include activities such as working events on evenings and weekends, placing orders for supplies, and facilitating the printing of schedules, signage, nametags, etc.


7. TICKET DISTRIBUTION: For the annual commencement ceremony for SAIC, manage the ticket distribution process for students, families, and faculty who attend the ceremony. Works closely with Associate Dean to monitor ticket numbers and any individual issues that arise. Issue other tickets such as Museum Tickets, Expo tickets, as appropriate.

8. CRISIS MANAGEMENT: Assists in triaging crisis situations, and locating/involving the correct resources/staff in emergencies, including the Dean on Call. Uses discretion and compassion when dealing with individual student issues.


9. POSTER APPROVAL AND MANAGEMENT: Approve and stamp posters for events that have been approved through the Engage SAIC System and work with Associate Dean to discuss postings that might need further discussion. Keep working record of posters that have been approved.


10. FISCAL MANAGEMENT: Manage Invoice Payment Requests (IPR) and Employee Reimbursement Form (ERC) for Campus Life events as assigned.


11. MANAGE CAMPUS LIFE PTO TRACKING: Enter approved Campus Life PTO dates on the shared Student Affairs PTO calendar, and submit bi-weekly PTO reports for Associate Dean to approve.

12. Other duties as assigned.

PHYSICAL REQUIREMENTS

• Frequently moving supplies from one building to another for events, working with student staff to set up tables, chairs, etc. Walk to other buildings on campus for meetings and programs; standing requirements include facilitating programs, orientation, art sales, and other large-scale events;
• Prolonged periods sitting at a desk and working on a computer.
• Occasionally moves about inside the office to access file cabinets, office machinery, etc.
• Constantly operates a computer and other office productivity machinery, such as a copy
machine and printer.

QUALIFICATIONS

Bachelor's degree with at least one year professional experience
• Proficiency in Microsoft Office Suite and Google Suite.
• Understanding of Adobe Suite (preferred).
• Strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse and global community.
• Demonstrated collegiality and leadership ability. Experience supervising staff (paraprofessional or professional).
• Experience with crisis management; ability to identify and triage emergency situations.
• Strong written and verbal communication skills. Ability to effectively communicate in a dynamic and fast-paced environment.
• Strong organizational skills and the ability to prioritize work.
• A demonstrated ability to plan, organize and prioritize strategies and tasks in an independent way (self-starter).

• Student Programming Board (4, in collaboration with Director of Campus Life)
• Short-term, special event student staff (including art sale, Family Weekend, and
Commencement, 10-15 per event)

UNION: This position is part of a bargaining unit represented by AFSCME Council 31.
